- Analyzes weekly timesheets for accuracy
- Communicates with various field employees to correct timesheet discrepancies
- Reconciles timesheets and inputs data into payroll system
- Organizes storage of weekly timesheets
- Schedules and tracks 30-,60, and 90-day reviews for new hires and temporary employees
- Coordinates reporting of temporary employee time to various temporary agencies and accounting personnel teammates
- Reconciles temporary agency invoices with correct timesheets to insure accuracy
- Updates paid time off (PTO) calendar
- Drafts correspondence for standard past-due customer accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment
- Manages I29’s and change orders, vendor waivers, time and material invoices
- Requests NOC’s and NOF’s
- Organizes meetings, including scheduling, sending reminders, and organizes catering when necessary
- Provides high-level administrative support to VP of Construction
- Performs office tasks including maintaining records, ordering supplies, and performing basic data entry tasks
- Performs other related duties as assigned
Required Skills/Abilities:
- Strong knowledge of Microsoft Office Suite
- Strong organizational skills
- Detail-Oriented
- Strong communication and presentation skills
- Strong discretion and confidentiality qualities
- Knowledge of AIA contract billing processes, vendor waivers, insurance processes, prevailing wage, and contract verbiage
- Proficiency in Spanish a plus
